Calendar Management
Open Calendar Management (needs the Calendar Management feature). Four tabs: Calendar View, Event Types, Contacts (people who have booked) and Branch (table and room reservations, covered on Resource booking).
Calendar view
A month, week or day calendar of every appointment, however it was made. Drag an event to move it, resize it to change the duration; both save at once. Click an event to open Manage Event. The header buttons:
- Connect Google: link a Google Calendar (see below).
- New: add an appointment by hand with start and end, description, notes, customer name and contact, and padding before and after.
- Settings: your availability, notifications and the AI suggestion prompt.
- Reminders: automatic reminders before appointments the AI books.
Calendar settings: your availability
The Settings dialog has four tabs. The Availability tab is the default that every booking link inherits:
| Setting | Meaning |
|---|---|
| Default Duration | Length of an appointment in minutes. |
| Padding Time | Minutes kept free before and after each appointment. |
| Overlap Limit | How many appointments may share a time window, per weekday. 0 means unlimited. |
| Working Hours, Rest Hours | When you take bookings, and breaks inside those hours. |
| Off Days, Off Dates | Weekdays you never book, and specific dates such as holidays. |
The Notifications tab chooses the channels on which customers receive confirmations (WhatsApp, and WABA when connected, with extra numbers to copy in), and holds the Confirmation Message Template and Telegram Notification Template, with clickable variables and a live preview. The Suggestion Prompt tab tells the AI how to propose times in chat, in plain language: how many options, how far ahead, preferred days or hours. Your availability always wins over the prompt.
AI reminder settings
Turn on Send Reminder, choose recipients (yourself, the client, other numbers, and WABA equivalents), and add one or more reminders such as 1 Days before or 2 Hours before. Each reminder can carry several message templates; recipients get them in rotation so reminders do not all look identical. WABA reminders are only sent if the reminder time falls within 24 hours of the appointment, because of Meta's messaging window.
Event types: bookable services
An event type is a service people can book: a viewing, a consultation, a class. Each has its own public link. On the Event Types tab, Add Event Type opens the editor:
| Section | What you set |
|---|---|
| Basic Information | An image shown on the booking page. |
| Event Type Settings | One Day Event (one date), Multi-Day Event (a range) or Recurring Event (ongoing, follows your availability). Dates blocked by off-days or off-dates are refused. |
| Booking Availability | Off by default, meaning the link follows your calendar settings. Turn on Use custom availability for this event type to give this link its own duration, padding, per-day cap, hours and off-days. |
| Core fields | Event Name, Description, Remark From Host, Duration in minutes, Currency and Price, Location Type (Video Call, Phone Call, In Person), Timezone, Capacity per slot. |
| Notifications settings | The confirmation message with variables like {{custName}} and {{startDateShort}}; WhatsApp and WABA switches with extra numbers. |
| Appointment Reminder Settings | Reminders specific to this event type, same options as above. |
| Custom Inputs | Extra questions on the booking form: text, number, email, phone, dropdown, checkbox, radio; required or not; drag to reorder. |
| Locations | For In Person events, one or more named locations with capacity. At least one is required. |
Each event card has an Active switch, Preview booking page, Copy booking link, edit and delete. An inactive event's link shows Event not found to visitors.
What the customer sees
The booking page shows your image, event name, description, host remark, duration, price and location type on the left, and an Enter Details form on the right: Full Name, Email, Phone, a location dropdown for in-person events, your custom inputs, and Additional Notes. Schedule Event opens a calendar and the free slots. After picking one they land on Appointment Confirmed! with the details and buttons to add it to Google or Apple Calendar.
Visitors are stopped by: a slot outside your hours, a full slot (maximum capacity of N appointments), a date you blocked, or a second booking in the same slot with the same email or phone (You already have an appointment scheduled for this time slot).
You receive the appointment on the calendar, the customer gets the confirmation message on WhatsApp or WABA if enabled, and reminders are queued.
Google Calendar
Connect Google links your Google account. Appointments created here are pushed to Google, and events on Google appear here marked Sync from google. On some brands this button needs the advance or premium add-on.
Appointments booked by the AI
How the flow books
With Appointment on in a flow's settings, the AI recognises when a customer wants to meet, suggests free slots from your availability (shaped by the Suggestion Prompt), confirms the details, and creates the appointment. Default duration is 60 minutes and it checks the next seven days for clashes unless Allow Overlapping is on. The customer gets the WhatsApp confirmation and you get a Telegram note, using the flow's templates or your calendar defaults. The flow can stop follow-ups and pause the AI once the booking is secured.
