Scheduled messages & follow-ups

Follow-up sequences, scheduled inbox messages, reminders and campaigns all go through one queue. This page explains the rules that queue applies: pacing, off-hours, pausing and cancelling.

Everything that sends later

SourceCreated when
Follow-up sequence blocksA customer enters a flow that has a sequence. Each block is queued with its delay.
Scheduled inbox messageYou press the clock icon in the composer and pick a time.
Appointment remindersAn appointment is booked and reminders are configured on the calendar or the flow.
Birthday and periodic remindersSet up from the leads page's More menu.
Scheduled Broadcast campaignsYou press Send Now or Schedule Send on a campaign.
Response automationAn assigned agent has not acted within the time you set.

How fast they go out

Due messages are released once a minute, spread out rather than fired together. Your profile's Schedule Message RPM (1 to 6, the number of scheduled messages per minute) caps the rate across everything above. Anything beyond the cap waits for the next minute. This is deliberate: a number that sends in steady bursts looks like a person, not a bot. Campaigns add their own delay on top (see Broadcasts).

Off-hours

A flow's Off Hours (Settings → Advanced) and a campaign's Off Hours both mean the same thing: messages due inside the window are moved to the end of it. Overnight windows such as 21:00 to 09:00 are fine. The timezone next to the setting decides what "21:00" means. Live AI replies ignore off-hours; only queued messages wait.

Pausing and cancelling

  • Pause Everything on a chat (or ###p) puts every queued message for that contact on hold. Resume Everything (or ###r) releases them, provided Pause AI is also off.
  • Pause AI Flow (or ####) pauses the sequence messages as well as the replies; Resume AI Flow (or ###_) restores them if Pause Everything is off.
  • ___ or _end deletes the queued sequence for that contact and blocks them from the flow.
  • Changing a chat's flow clears the old flow's queued messages.
  • A contact who sends #STOP# gets nothing further from the queue.
  • Restarting a campaign deletes all its queued messages.

Both pauses must be off

Queued messages resume only when neither Pause AI nor Pause Everything is on for that chat. If follow-ups seem stuck, check both in the chat's three-dot menu.

Seeing what is queued

The List Scheduled Messages page shows queued items with their due time and status (scheduled, in progress, paused, completed, error, cancelled). In the inbox, queued AI messages show as AI scheduled message or ⏸ Paused in the conversation, and a chat's Waiting for Reply chip in the header means a sequence is waiting on the customer. Completed and cancelled items are cleaned up after a week.
