Importing & distributing leads

Three ways leads arrive in bulk: a spreadsheet you upload, Facebook Lead Ads pages you subscribe to, and the automatic channels. Then how to hand them out to agents with rotation or the distribution pool.

Where leads come from

Every lead carries a Source. Most are created for you:

Web forms you build in the app also create leads, with the referral code of whoever shared the link. See Forms.

Uploading a spreadsheet

Open Upload Leads from the menu. The page is titled Upload Data and has two tabs: Upload Excel and Manual Upload.

  1. Prepare an Excel or CSV file with one lead per row. The importer maps these columns: Name, Phone, WhatsApp Username, Email, Remark, Source, Campaign, Birthday and Customer Code. Name is always required; the upload screen marks which of the others are required for your account.
  2. Drop the file onto the page or click to choose it, then match each of your columns to a lead field.
  3. Optionally add tags and a folder that every lead in the batch will receive.
  4. Optionally tick the option to add the new leads to the distribution pool and choose a Sheet. See below.
  5. A Confirm upload dialog shows the first row as it will be saved, so you can catch a wrong column mapping. Press Confirm.
  6. Wait for Uploading leads. Please wait... to finish and the Data uploaded message.

Phone numbers

Write phone numbers with the country code and no plus sign or spaces, for example 60123456789. A WhatsApp or WABA row must have a phone number or a WhatsApp username, otherwise the upload stops with a message naming the row.

Manual Upload is a small form for typing in one lead at a time, the same as Add Lead on the leads page.

Facebook Lead Ads

Open Facebook Lead Subscription. The page heading says Configure who receives notifications for incoming Facebook Lead Ads. Connecting a page needs the WhatsApp Cloud subscription; without it the connect button is disabled and the tooltip says you need to subscribe.

  1. Click Connect Facebook Page and sign in to Facebook with an account that administers the page. Once one page is connected the button reads Add More Pages.
  2. Each connected page appears as a card. Switch its subscription on so Facebook sends new form submissions to the app, add other admins, or remove the page.
  3. Click Create Subscription. Choose the Page, optionally a specific Form (leave empty to receive every form on the page), and at least one Recipient.
  4. Decide on Rotation. On: each new lead goes to the next recipient in turn, round-robin. Off: every recipient gets every lead.

Removing the last admin

If you are the last admin on a page and remove it, the page's webhook subscription is cancelled and cannot be restored from the app. The confirmation dialog warns you.

Leads from ads land with source Facebook Lead Ads, the page, form and campaign names, and the raw form answers under Field Data on the lead.

Lead distribution pool

Lead Distribution is a paid add-on for teams with callers who work a shared pool. It is not push assignment: leads are enrolled in a pool, and each caller sends a daily keyword over WhatsApp to pull their next batch. The page subtitle reads Manage and track the distribution of leads across your agents.

What you see. Three cards: Cap per caller, Max recycles, and today's keyword. Then a filter (All, Live, Completed, Retired), search, Add sheet, Refresh, Rename agent, and tabs for each Sheet. Sheets group the pool, typically one per Facebook page or campaign.

Pool table. Name, Number, one column per form field, Agents, a pull counter, Status and Actions. Row actions: Mark complete, Reset lead, Block a caller (once the lead has been pulled at least once) and Remove from pool. With rows selected you can Complete, Move to sheet or Delete.

Distribution Settings drawer:

Only new leads enter the pool

Re-uploading a spreadsheet that contains leads you already have will not put those leads back into the pool. Use Reset lead in the pool table to recycle one.

Common tasks

  1. Move an old contact list into the app. Export from your old tool as Excel, keep at least Name and Phone, upload, and give the whole batch a folder named after the old tool so you can find them later.
  2. Route new ad leads to three agents evenly. Facebook Lead Subscription → Create Subscription → choose the page → add the three agents as recipients → turn Rotation on.
  3. Run a call-centre pool. Turn on Lead Distribution, set Leads per caller and the timezone, enrol Facebook Lead Ads and uploads, share the daily keyword with callers, and check the pool page each morning for stalled leads.
